Nextcloud vs Microsoft 365: self-hosted or Microsoft cloud

When a self-hosted Nextcloud workspace fits and when Microsoft 365 does, compared on components, hosting, data residency, jurisdiction, desktop Office, identity, devices and operations, with a decision checklist.

Nextcloud and Microsoft 365 both cover files, chat and meetings, mail and calendar, and document editing. The difference is where the service runs and who operates it. Microsoft 365 is a cloud service run by Microsoft, with data location commitments that you can extend through add-ons. Nextcloud Hub runs on your own servers, with a hosting provider you choose or in a hybrid setup, so you decide where data sits and you take on the work of running it.

Microsoft 365 usually fits organizations that depend on desktop Office, Teams and centrally managed Windows devices. Nextcloud fits when policy or contracts require data to stay on infrastructure you control, including air-gapped networks. Running both is also an option, for example Nextcloud for a defined set of sensitive files and Microsoft 365 for everyday work.

A few Nextcloud details matter for sovereignty reviews. Nextcloud Talk supports federated chat and calls between Nextcloud servers, end-to-end encrypted calls and air-gapped deployment. Its bridging feature can connect Talk rooms to Microsoft Teams, Slack, Matrix and Mattermost. Nextcloud's AI documentation says every AI feature is optional and installed as a separate app. Some backends keep data on premises, such as local text processing and local machine translation, while others call third-party providers. Nextcloud Flow adds no-code automation and file approvals, with larger process automation built on the open source Windmill tool.

Hosting and data location

Nextcloud can run on-premises, with a hosting provider or in a hybrid setup. Nextcloud states that a completely air-gapped setup, physically separated from the internet, is possible. Data location is therefore set by the hosting you choose.

Microsoft 365 data location starts with the tenant. According to Microsoft's data residency overview, the country entered at sign-up sets the tenant's Default Geography, which, combined with service availability, determines where data at rest is stored. Microsoft lists three ways to make that location durable:

  • Product Terms commitments for covered services.
  • Multi-Geo, which assigns data location for Exchange Online, SharePoint, OneDrive, Teams and Copilot by geography.
  • Advanced Data Residency, an add-on with in-country commitments.

Advanced Data Residency covers Exchange Online, SharePoint, OneDrive, Teams and Copilot, plus selected security and Purview compliance services. Eligible countries include Canada, Germany, Qatar, Switzerland, the United Arab Emirates and the United Kingdom, among others. Every paid license in the tenant must be covered by the add-on, and the EU is not available as a single geography.

For EU customers, Microsoft's EU Data Boundary commits to store and process Customer Data and personal data for its enterprise online services, including Microsoft 365, within the EU. Microsoft documents the limited circumstances in which data is still transferred outside it.

Location is not the same as jurisdiction

Where data is stored and which laws can reach it are separate questions. Microsoft is a US company, so some organizations also weigh US laws such as the CLOUD Act when they assess cloud services. Self-hosting Nextcloud changes who holds the data, but you still need to check the laws that apply to your hosting provider and to your own organization. Take legal advice for your case.

Desktop Office dependence

This is often the deciding factor. Microsoft 365 Business Premium includes fully installed, current versions of Word, Excel, PowerPoint, OneNote and Access (PC only). Nextcloud Office is an online suite that works in modern browsers and supports all major document, spreadsheet and presentation formats.

Nextcloud Enterprise lists integrations with Outlook, Exchange, Teams, SharePoint, Active Directory and Office Online, and add-ons such as Collabora Online and ONLYOFFICE. Before you plan a move, test the files your teams depend on most, such as complex Excel models, macros, templates and tracked changes.

Identity and device management

Microsoft 365 uses Microsoft Entra ID for identities and authentication. You can keep identities in the cloud only, or synchronize them from on-premises Active Directory with Microsoft Entra Connect. Business Premium includes Intune Plan 1 for device and app management, plus Microsoft Purview Data Loss Prevention and Information Protection.

Nextcloud integrates with LDAP and Active Directory, supports 2FA and SSO, and offers clients for macOS, Windows, Linux, iOS and Android. Nextcloud Hub does not list device management among its components, so plan separately how laptops and phones will be enrolled and secured.

Operations and support

With Microsoft 365, Microsoft runs the service. Your team or partner still owns licensing, identity, security policies and data governance.

Self-hosting Nextcloud adds server work. Its upgrade guide sets out what to expect:

  • Upgrades go step by step, and you cannot skip major releases.
  • The server goes into maintenance mode during an upgrade, so users are locked out until it finishes.
  • Downgrading is not supported, so take a fresh backup before every upgrade.
  • Third-party apps must be disabled before an upgrade and checked for compatibility.

A Nextcloud Enterprise subscription adds early security patches, support from Nextcloud engineers, SLAs up to 24/7, migration help and long-term support for stable releases.

When each fits

Nextcloud tends to fit when:

  • Data must stay on infrastructure you own, in a set country or on an isolated network.
  • You want open source software and a choice of hosting provider.
  • You have, or can contract, the skills to run and patch servers.

Microsoft 365 tends to fit when:

  • Teams rely on desktop Office, Teams calling and SharePoint.
  • You manage devices with Intune and use Microsoft's security tools.
  • A Microsoft data residency option meets your location requirement.

Decision checklist

  1. Data classes. List which data is sensitive and what each class requires for location and access.
  2. Location rules. Check whether Product Terms, Multi-Geo, Advanced Data Residency or the EU Data Boundary meets each requirement.
  3. Jurisdiction. Get legal input on which laws apply to each provider you are considering.
  4. Office use. Test critical documents in Nextcloud Office before deciding.
  5. Identity and devices. Decide where identities live and how devices will be managed.
  6. Operations. If you self-host, name who patches, backs up and monitors, and test a restore.
  7. Hybrid option. Consider whether a split, with sensitive files in Nextcloud, meets your needs at lower change cost.
  8. Total cost. Compare licenses or subscriptions plus hosting, staff time, support and migration.

Common questions

Is Nextcloud an alternative to Microsoft 365?

For many workloads, yes. Nextcloud Hub includes files, chat and calls, mail and calendar, online document editing, an AI assistant and automation. It differs most in desktop Office apps and device management.

Can Microsoft 365 keep my data in my country?

Often, depending on the country. The tenant's Default Geography sets the starting point, and Advanced Data Residency adds in-country commitments in eligible countries for core services.

Can Nextcloud run without an internet connection?

Yes. Nextcloud states that a fully air-gapped on-premises setup is possible, and Nextcloud Talk can be deployed in air-gapped environments.

Can Nextcloud and Microsoft 365 work together?

Yes. Nextcloud Enterprise lists integrations with Outlook, Exchange, Teams, SharePoint and Active Directory, and Talk can bridge rooms to Microsoft Teams.

Does Nextcloud Assistant send data to outside AI providers?

Only if you choose such a backend. Nextcloud's documentation shows which AI apps keep data on premises and which call external services.
