Shortlist HubSpot when lead engagement and deal management need to share Smart CRM with the selected HubSpot Hubs. These are buying scenarios, not exclusive capabilities or a claim that one product is easier.
The practical difference to price is the proposed configuration. HubSpot's Sales Hub page places custom objects in Enterprise and says CPQ access requires a Commerce Hub seat. Salesforce's sales product page describes workflow and territory management, quotes, and contract approvals; confirm the specific edition and products that supply them. Compare those requirements and their entitlements before comparing entry-level seats.

Define the CRM requirement
Write down what happens between a new lead, a qualified opportunity, an accepted order, and a continuing customer relationship. Include the exception paths that currently require spreadsheets or manual approvals. Decide which team owns each step and which reports leaders use to act.
Salesforce's sales product page describes lead and opportunity work, pipeline management, forecasting, reports, and sales automation, with capabilities dependent on the selected edition and add-ons. Salesforce also uses Agentforce Sales naming in its sales guide; confirm the current product and entitlement names in the proposal.
HubSpot's Sales Hub page describes lead and deal management, sales engagement, workflows, reporting, and forecasting on Smart CRM. Its free CRM is not equivalent to every paid Sales Hub capability. Other Hubs and commercial tools can change the scope and bill.

Test the data model before the interface
A clean demonstration with a few contacts can conceal a difficult data problem. Provide examples of your legal entities, customer groups, resellers, sites, products, and sales relationships. Ask each supplier to show how the same customer is represented and how duplicate records are detected and resolved.
If you need additional objects, verify the proposed plan and implementation rather than assuming unlimited flexibility. HubSpot's current Sales Hub page places custom objects in Enterprise. Salesforce's ability to support a model still needs confirmation against the edition, limits, configuration, and integrations being proposed.
Test a change of account owner, a salesperson who should not see another region's deals, and a manager who needs a cross-team forecast. The purpose is to prove access and reporting behavior with your model. It is not to maximize the number of fields or workflows.
Evaluate automation and administration together
Automating an inconsistent process can make errors travel faster. Decide how leads are accepted, how stages advance, which fields are required, and who can approve an exception before configuring rules. Ask for an explanation of what happens when a rule fails or when a record is incomplete.
Then assess ongoing ownership. Who can safely change a field, workflow, report, permission, or integration? Who tests the change? How do users report a broken process? A CRM that requires specialist administration can be appropriate if that capacity is funded. A simpler design still needs someone responsible for data quality and change control.
Treat AI functions as specific capabilities with controls, entitlements, and usage assumptions. Ask which actions are suggestions, which are executed, how results are reviewed, and what data is used. Do not repeat either vendor's revenue or productivity claims as a forecast for your business.
Keep the ERP boundary explicit
A CRM does not automatically become the owner of credit approval, accounting, inventory, fulfillment, or statutory records. Decide which customer fields can change in the CRM and which financial fields stay under ERP control. Test an amended order, a credit hold, and a delayed sync where those cases matter.

Compare the complete commercial proposal
Avoid comparing Salesforce's entry tier with HubSpot's free CRM when the required workflow needs paid capabilities. Conversely, do not price an enterprise configuration for a requirement that a lower tier demonstrably covers.
Ask for the product names, tiers, paid and view-only seats where applicable, contract term, currency, billing period, required Hubs or add-ons, support, integration, and AI or usage assumptions. Include onboarding, migration, configuration, training, and administration. Check which increases require a different tier and how renewals are handled.

Is HubSpot only for small businesses?

Can the existing ERP CRM remain?
